If you plan to work or study outside Canada, you need to prepare the papers and make sure that you have undergone the correct legal process. This is the first step to making that dream of working or studying abroad a reality. However, there are many causes for Canadian document rejection.

The required Canadian documents may vary depending on your reason. However, make sure to always prepare the following:

  • Birth certificate
  • Certificate of origin
  • Certificate of residence
  • Commercial invoice
  • Copy of passport
  • Criminal record check
  • Driver’s license
  • Educational Documents
  • Passport IDs
  • Transcripts

In many countries, locals undergo the process of apostille to have their documents certified and authenticated. This way, their documents will be legally valid to those countries that have participated in this convention.

However, in Canada, there is a different case. Canada is not a signatory to the Hague Apostille Convention, so the process is a little different. Worry not, though, as we have what we call document authentication and legalization, which is legally equivalent to the apostille.

The Authentication and Legalization Process in Canada

Authenticating and legalizing documents in Canada involves three steps:

(1) preparing the Canadian documents and having them notarized,
(2) having them authenticated by The Ministry of Global Affairs in Ottawa, and
(3) having them legalized by the embassy of the country you’ll be going to.

However, in some cases, the authentication gets rejected. This is what we want to avoid. For a better understanding of the process, here are the main reasons why the authentication doesn’t get pushed through:

  • The documents do not have an original signature
  • The documents do not have a seal
  • The documents are “religious”
  • The documents are issued by institutes that are not recognized
  • The documents are glued
  • The documents are laminated
  • The documents are covered with a substance that makes it impossible to be stamped
  • There are misleading contents in the document
  • The documents are illegal and fraudulent
